SUMMARY:

The Executive Admin & Office Manager will work directly with C-level executives, support Management and work with all vendors making sure all accounts are in good standing monthly. As Executive Admin & Office Manager, this person will be responsible for performing several administrative duties in addition to making daily office operations run smoothly.  The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.

Qualifications

  • Strong written and oral communication skills
  • Strong organizational skills: ability to accomplish multiple tasks within agreed upon timeframes through effective prioritization of duties and functions in a fast-paced, start-up environment
  • Self-motivated; able to work both independently to complete tasks and respond to requests, as well as collaborate with others to utilize resources and knowledge of others in identifying high quality solutions
  • Strong ability to follow up on pending items, track project progress, stay current on project status and milestones and report to CEO
  • Strong attention to detail in review, process and drafting of documents
  • Proficient with Microsoft Office Suite including Excel, Word and Powerpoint
  • Working knowledge of Quickbooks & Concur
  • Incumbent must be flexible, able to adjust to shifts in business priorities
  • Able to work in Raleigh, NC
  • Able to sit at a desk for extended periods stand; walk. While performing the duties of this job, the employee frequently is required to stoop, kneel, and crouch; lift weight or exert a force up to a maximum of 25 pounds
  • College degree or related experience required
  • One to three years of experience required

Responsibilities

  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients
  • Prepare internal and external corporate documents for team members and industry partners
  • Schedule meetings and appointments; manage calendar for CEO
  • Arrange corporate events to take place outside of the workplace, such as golf tournaments, fund-raising events and staff appreciation events
  • Help prepare CEO for meetings
  • Research and collect data to prepare documents for review and presentation by boards of directors, committees, and executives
  • Answer phones and route calls to correct party
  • Manage inventory of and order office supplies as needed
  • Manage and arrange payment of monthly office expenses (ex. rent, phone, Concur); prepare quarterly and annual reports for CEO
  • Manage vendor relationships related to office expenses & prepare new service/change proposals for CEO for consideration
  • Provide expense report support to team members
  • Open, sort, and distribute mail
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clientele
  • Provide general administrative support
  • Other duties as needed
